1. Introduction and Scope
At ETAAC Pest Control, the privacy of our visitors and customers is of extreme importance to us. This Privacy Policy describes the types of personal information that ETAAC Pest Control receives and collects when you visit etaac.org (the “Site”), request a quote, book a service, call us or otherwise interact with us, and explains how that information is used, shared, protected and retained. It also explains the choices and rights you have.
This policy does not apply to information collected by independent pest control contractors in their own separate dealings with you, or to third-party websites linked from the Site.
If you require additional information or have any questions about this Privacy Policy, please feel free to contact us. By using the Site, you acknowledge that you have read this Privacy Policy. Please also review our Terms & Conditions and our Cookie Policy, which form part of how we describe our practices.
2. Who We Are
ETAAC Pest Control operates a nationwide U.S. network and referral service that connects customers with independent local pest control contractors and helps coordinate quotes, bookings and appointments.
For the purposes of data protection laws that use these terms, ETAAC Pest Control is the “business” or “controller” responsible for personal information collected through the Site. You can reach us at:
- Telephone: (855) 987-5196 (9AM–6PM)
- Email: [email protected]
- Mail: [Business mailing address]
3. Information We Collect
We collect only the information that is reasonably necessary to provide our services, operate the Site securely and communicate with you. The categories below describe what we collect and where it comes from.
3.1 Information you provide through our contact and quote form
When you request a quote or send us a message, our contact form asks for your name, email address, telephone number, service address, the type of service you need and any message you choose to include (for example, a description of the pests you have seen, where they are located, and how long the problem has existed). Submissions are stored in the WordPress administration area of the Site and are also sent by email to our staff so that we can respond.
3.2 Information you provide when booking or paying online
Our online store is powered by WooCommerce. When you book a service package (such as General Pest Control, Termite Inspection & Treatment, Bed Bug Heat Treatment, Rodent Control & Exclusion, Wasp & Hornet Nest Removal, or Dead Animal & Wildlife Removal), we collect your name, billing address, service address, email address, telephone number, the package selected, your preferred appointment dates and times, order notes, and your order history. If you create an account, we also store your username and an encrypted password.
Payments are handled by the third-party payment processors configured in WooCommerce. Your full card number and security code are entered into and processed by the payment processor; ETAAC Pest Control does not store complete payment card numbers on the Site. We may receive limited payment information from the processor, such as the card type, the last four digits, the transaction identifier, and whether the payment was authorized, refunded or disputed.
3.3 Information from phone calls, texts and emails
When you call, text or email us, we collect the information you choose to share and may keep notes of calls and copies of correspondence to provide service and resolve questions.
3.4 Log files and technical information
Like most other websites, ETAAC Pest Control makes use of log files. The information inside log files may include internet protocol (IP) addresses, type of browser, Internet Service Provider (ISP), date and time stamps, referring and exit pages, pages viewed and number of clicks. We use this information to analyze trends, administer the Site, understand how visitors move around the Site, diagnose technical problems and protect against misuse. We do not use log information to build profiles that identify you personally, although an IP address may be considered personal information under some laws.
3.5 Security information
The Site uses the Wordfence security plugin and WP Hide & Security Enhancer to protect against hacking attempts, spam and malicious traffic. Wordfence records IP addresses, user agents, requested URLs, login attempts and related timestamps, and it may block traffic that appears to be malicious or automated. Wordfence may also set security-related cookies, primarily for logged-in administrators. These records are used solely to keep the Site, our customers and our data secure.
3.6 Cookies and consent records
We use cookies to store information about visitors’ preferences, keep items in your booking cart, keep you logged in, remember your cookie choices and secure the Site. The CookieYes consent banner stores a cookie that records your consent choices. See our Cookie Policy for details.
3.7 Information from independent contractors
If an independent contractor performs work for you after a referral through ETAAC Pest Control, the contractor may share with us information about the appointment, such as inspection findings, the final price, the date work was completed, and any re-treatment or customer-service issues, so that we can coordinate service, handle billing and respond to your questions.
3.8 Sensitive information
We do not ask for sensitive information such as Social Security numbers. If you mention a health concern (for example, a household member with allergies) so that a contractor can plan appropriately, we use it only for that purpose.
4. How We Use Your Information
We use the information described above to:
- respond to your questions and quote requests and contact you about the services you asked about;
- match you with an independent local pest control contractor who serves your area and the type of pest problem you have;
- process bookings, payments, refunds and cancellations, and send order confirmations, appointment reminders and receipts;
- schedule, reschedule and coordinate inspections, treatments and re-treatments;
- provide customer support and handle complaints, warranty questions and disputes;
- send you information about our services where you have agreed to receive it (see Section 7);
- operate, maintain, improve and secure the Site, including detecting and blocking fraud, spam and malicious activity;
- keep business records, including accounting and tax records; and
- comply with legal obligations, enforce our Terms & Conditions, and protect the rights, property and safety of our customers, contractors, the public and ETAAC Pest Control.
We do not sell your personal information for money, and we do not use your information for purposes that are materially different from those described here without first notifying you and, where required, obtaining your consent.
5. Legal Bases for Processing (EU/UK Visitors)
Our services are directed to customers in the United States. If you visit the Site from the European Economic Area or the United Kingdom, the General Data Protection Regulation (GDPR) or UK GDPR may apply. In that case, we rely on the following legal bases:
| Purpose | Legal basis |
|---|---|
| Responding to enquiries and quote requests | Steps taken at your request before entering into a contract; legitimate interests in responding to customers |
| Processing bookings, payments and appointments | Performance of a contract |
| Marketing calls, texts and emails | Consent, which you may withdraw at any time |
| Non-essential cookies (functional, analytics, performance, advertisement) | Consent, collected through the cookie banner |
| Site security, fraud prevention and log analysis | Legitimate interests in protecting the Site and our users |
| Accounting, tax and legal record-keeping | Compliance with legal obligations |
| Defending or bringing legal claims | Legitimate interests |
Where we rely on legitimate interests, we have considered whether those interests are overridden by your rights and freedoms, and you may object to that processing as described in Section 12.
6. How We Share Information
We share personal information only as described below.
6.1 Independent pest control contractors
Because our service connects you with independent local contractors, we share the information needed for a contractor to contact you and perform the work, such as your name, telephone number, email address, service address, the service requested, your appointment preferences and the details you provided about the pest problem. Contractors are independent businesses, not employees or agents of ETAAC Pest Control. We expect contractors to use your information only to provide the requested service, but their own privacy practices govern information they collect directly from you.
6.2 Service providers (processors)
We use service providers who process information on our behalf, including our website hosting provider, email delivery providers, the payment processors configured in WooCommerce, security services (such as Wordfence), the cookie consent provider (CookieYes), and telephone and text-messaging providers. These providers may only use your information to perform services for us.
6.3 Legal and safety reasons
We may disclose information where required by law or legal process, to investigate fraud or security incidents, or to protect the rights, property or safety of any person.
6.4 Business transfers
If ETAAC Pest Control is involved in a merger, acquisition or sale of assets, personal information may be transferred subject to this Privacy Policy or an equally protective policy.
6.5 With your consent
We may share information for other purposes with your permission or at your direction.
7. Calls, Texts and Email (TCPA Consent)
Our contact and quote form includes the following consent statement:
“By submitting your information, you agree to be contacted about our services, using email, telephone or text message – including the use of auto-dialed and/or pre-recorded calls or messages to the telephone number provided, including your wireless number if provided. I understand that consent is not a condition of purchase.”
This consent is intended to satisfy the Telephone Consumer Protection Act (TCPA) and related federal and state laws. By submitting the form, you authorize ETAAC Pest Control, and independent contractors acting on your request, to contact you at the number and email address you provided about the services you requested. Please note:
- Consent is not a condition of purchase. You may book or buy services without agreeing to receive marketing calls or texts; simply call us at (855) 987-5196 instead of using the form, or tell us you do not want marketing contact.
- Opting out of texts. You can stop text messages at any time by replying STOP to any message. You may receive one final message confirming your opt-out. Reply HELP for help.
- Opting out of calls and email. You can tell us during any call that you do not want further calls, email [email protected], or use the unsubscribe link in any marketing email.
- Transactional messages. Even after opting out of marketing, we may still contact you about an existing booking, payment, refund or service issue.
- Charges. Message and data rates may apply depending on your mobile plan. Message frequency varies.
- Accuracy. Please provide only a telephone number that you own or are authorized to use, and let us know if your number changes.
We will honor opt-out requests within a reasonable time and in any event within the time required by applicable law.
8. Cookies and Similar Technologies
ETAAC Pest Control uses cookies to store information about visitors’ preferences, keep the booking cart working, keep logged-in users signed in, remember consent choices and secure the Site. Cookies are grouped into the categories used by our CookieYes consent banner: necessary, functional, analytics, performance and advertisement. Necessary cookies are always active because the Site cannot function without them; other categories are used only according to your choices in the banner.
You can change your choices at any time using the “Change cookie settings” link, and you can disable cookies through your individual browser options. More detailed information about cookie management with specific web browsers can be found on the browsers’ respective websites. For a full list of cookies and their durations, please read our Cookie Policy.
9. Advertising and Affiliate Programs
Earlier versions of this Privacy Policy described Google’s DoubleClick DART cookie, Google AdSense and the Amazon Services LLC Associates Program. The Site does not currently run third-party advertising networks, does not display Google AdSense advertisements and does not participate in the Amazon Associates Program or any other affiliate program. The DART cookie technology described in our earlier policy has also since been retired by Google.
If we add advertising or affiliate partners in the future, we will update this Privacy Policy and our cookie consent tool before those partners’ cookies or tags are used, identify the partners, and explain how to opt out. Third-party ad servers and ad networks typically receive your IP address automatically and may use cookies, JavaScript or web beacons to measure the effectiveness of their advertisements and personalize the content you see. ETAAC Pest Control would have no access to or control over cookies used by third-party advertisers, and you should consult the respective privacy policies of those advertisers for details on their practices and opt-out options. This Privacy Policy does not apply to, and we cannot control the activities of, such other advertisers or websites.
10. Data Retention
We keep personal information only for as long as reasonably necessary for the purposes described in this policy, including to satisfy legal, accounting and reporting requirements. The periods below are our general guidelines; actual periods may be longer where required by law or where information is needed to resolve a dispute.
| Type of information | Typical retention period |
|---|---|
| Contact and quote form submissions that do not lead to a booking | Up to 24 months after your last contact with us |
| Orders, invoices and payment records | Up to 7 years, to meet tax and accounting obligations |
| Customer account information | While your account is active, and up to 24 months after your last activity unless you ask us to delete it sooner |
| Service and appointment records (including re-treatment history) | For the life of any service warranty or re-treatment window, plus up to 3 years |
| Marketing consent and opt-out records | For as long as needed to demonstrate consent and honor opt-outs, generally up to 5 years |
| Security logs (Wordfence) and server logs | Generally up to 12 months, or longer if needed to investigate an incident |
| Cookie consent records | Up to 12 months, after which you will be asked again |
When information is no longer needed, we delete or de-identify it.
11. How We Protect Your Information
We use reasonable administrative, technical and physical safeguards designed to protect personal information. These include encrypted (HTTPS) connections, a web application firewall and login protection provided by Wordfence, hardening measures provided by WP Hide & Security Enhancer, restricted access to the WordPress administration area, and the use of established payment processors so that full card details are not stored on the Site.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a security incident affects your personal information, we will provide notice as required by applicable law.
12. Your Privacy Rights
12.1 California residents (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, gives you the right to:
- Know the categories and specific pieces of personal information we have collected about you, the sources, the purposes, and the categories of third parties with whom we share it;
- Delete personal information we have collected from you, subject to certain exceptions;
- Correct inaccurate personal information;
- Opt out of the sale or sharing of personal information, including “sharing” for cross-context behavioral advertising;
- Limit the use and disclosure of sensitive personal information (we do not use sensitive personal information for purposes that would trigger this right); and
- Non-discrimination, meaning we will not deny you services, charge you different prices or provide a different quality of service because you exercised your rights.
Do Not Sell or Share My Personal Information. ETAAC Pest Control does not sell personal information and does not share personal information for cross-context behavioral advertising, as those terms are defined under California law. We have not done so in the preceding 12 months. Disclosures to independent contractors are made at your direction so that they can perform the service you requested. If our practices change, we will update this policy and provide a “Do Not Sell or Share My Personal Information” mechanism. You may still submit an opt-out request at any time and we will record it.
In the preceding 12 months we have collected identifiers (such as name, email, phone, address and IP address), customer records and commercial information (such as orders and service history), and internet activity (such as log and security data), and disclosed them for business purposes to the recipients described in Section 6.
12.2 Residents of other U.S. states
A growing number of states, including Virginia, Colorado, Connecticut, Utah, Texas, Oregon and others, have adopted consumer privacy laws. Depending on where you live and whether those laws apply to us, you may have rights to confirm whether we process your personal data, access it, correct it, delete it, obtain a portable copy, and opt out of targeted advertising, the sale of personal data and certain profiling. Where a law provides a right to appeal our decision on your request, you may appeal by replying to our decision or emailing [email protected] with the subject line “Privacy Appeal.” If your appeal is denied, you may contact your state Attorney General. We extend the core rights described in this section to all U.S. customers where it is reasonably practicable to do so.
12.3 EU and UK visitors (GDPR)
If the GDPR or UK GDPR applies, you have the right to access, rectify or erase your personal data; to restrict or object to processing; to data portability; to withdraw consent at any time without affecting the lawfulness of processing before withdrawal; and to lodge a complaint with your local data protection supervisory authority.
13. How to Exercise Your Rights
You may submit a privacy request by:
- emailing [email protected] with the subject line “Privacy Request”;
- calling (855) 987-5196 between 9AM and 6PM; or
- using our contact page.
Please tell us which right you wish to exercise and provide the name, email, phone and service address you used so we can locate and verify your records. You may use an authorized agent; we may require proof of the agent’s authority and ask you to verify your identity directly.
We will acknowledge requests promptly and respond within the time required by applicable law (generally 45 days under U.S. state laws, which may be extended where permitted, and one month under the GDPR). We do not charge a fee unless a request is manifestly unfounded or excessive.
14. Do Not Track and Global Privacy Control
Because there is no common standard for interpreting “Do Not Track” (DNT) browser signals, the Site does not currently respond to them. Where required by law, we treat a Global Privacy Control (GPC) signal as a valid request to opt out of the sale or sharing of personal information and targeted advertising for that browser. We do not currently sell or share personal information, but GPC signals will be honored if our practices change.
15. Children’s Privacy
The Site and our services are intended for adults who are able to arrange services for a property. We do not knowingly collect personal information from children under 13 years of age, consistent with the Children’s Online Privacy Protection Act (COPPA), and we do not knowingly sell or share the personal information of consumers under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.
16. International Visitors and Data Transfers
Information we collect is stored and processed in the United States and other countries where our service providers operate, where data protection laws may differ from those in your country. Where required, we rely on appropriate safeguards, such as standard contractual clauses offered by our service providers.
17. Third-Party Websites
The Site may link to third-party websites. This Privacy Policy does not apply to them, and we are not responsible for their content or privacy practices.
18. Changes to This Policy
We may update this Privacy Policy from time to time and will revise the “Last updated” date when we do. For material changes, such as adding advertising partners, we will provide additional notice and update our cookie consent tool where relevant.
